This can all be adjusted in the Administration menu. Generally your indexes are closed after so many days, and then removed after so many more. This is why it is good to have them sent to a backup server, in case you ever need to get the data back.

You can adjust the dashboard to show whatever you like using the button that says "custom". Those buttons are there just to make it easier for you.
