This is likely one of the best ways to go, another would be to send test traps from the devices, allowing them to be configured through the unconfigured objects list so their host/service will be waiting should a problem arise.

Is there a way to automate this process? when the xi receives a passive alert for the first time it should use the default settings and automatically configure itself and not miss the alert info?

At this point there is not. I could see it being a valid feature request, however many things would need to be ironed out such as if it needs to be able to do this just for traps, or all passive results, what unique identifier it would use to decide on a default config to use, and other such items.
Nagios-Plugins maintainer exclusively, unless you have other C language bugs with open-source nagios projects, then I am happy to help! Please pm or use other communication to alert me to issues as I no longer track the forum.
